ENESEL Group based in Athens, Greece, presently operating a diverse fleet of 29 modern high specification tankers/containers and bulk carriers is currently looking for a highly motivated full-time Travel Coordinator to provide support to Crewing Department.

All existing vessels are constructed to the highest international standards in first-class shipyards. The entire fleet is chartered to high profile charterers and operators mainly on time-charter basis.

The successful applicant is expected to have at least 3-5 years’ experience as a travel coordinator, ideally within the maritime industry or a ship management company. The role requires excellent organizational skills, the ability to work under pressure, and ensuring compliance with maritime regulations and company policies. Use of travel booking systems will be a distinctive advantage.

Main duties and responsibilities include but are not limited to:

  • Responsible for organizing and managing all (international and domestic) travel arrangements for crew members and personnel within the ship management company as well as technicians/ inspectors/ surveyors etc, ensuring timely and efficient crew changes. This includes booking flights, accommodations, ground transportation, and visas for seafarers and company staff.
  • Handle emergency travel requests, including last-minute flight changes or rerouting.
  • Assist crew members/personnel in obtaining necessary visas, work permits, and other documentation required for travel and port entry.
  • Ensure compliance with immigration requirements
  • Negotiate rates and terms with airlines, travel agencies, hotels, and transport providers to minimize travel costs.
  • Monitor travel budgets, ensure cost-effective solutions, and provide cost reports to management.
  • Ensure that all travel arrangements comply with maritime regulations.
  • Maintain records of travel itineraries, expenses, and compliance documents for audit purposes.
  • Coordinate with Masters onboard to ensure crew members have valid certificates and medical clearances before travel.
  • Act as a liaison between the ship management company, vessel Captains, port agents, and travel agencies.
  • Provide clear communication to crew members about their travel itineraries and changes, ensuring they are aware of all necessary requirements.
  • Work closely with Crew Operators and onboard teams to ensure seamless crew changes and travel plans.
  • Timely respond to emergency travel situations, such as flight cancellations, delays, immigration problems or border restrictions, to minimize disruption to operations.
  • Maintain up-to-date knowledge of travel-related technologies

Additional qualifications/requirements:

  • A University degree recognized by National Authorities in travel management, business administration, maritime studies, or a related field is preferred.
  • Fluency in English, both writing and verbally.
  • Conversant with ERP systems.
  • Proficiency in MS Office suite, good knowledge of other professional software.
  • Tech savvy and feel comfortable using technology on daily basis.
  • Excellent communication and teamwork skills with preference for collaboration, action, accountability and developing of solutions/alternatives.
  • Capable to work under stress in emergency cases.
  • Strong ability to manage time efficiently and prioritize requirements to meet deadlines
  • Attention to detail, particularly in managing complex international travel itineraries, with excellent problem-solving and decision-making skills.
  • Strong organizational and multitasking abilities, particularly when managing multiple travel itineraries simultaneously.
  • Budgeting skills to ensure cost-effective travel arrangements.
